Training Allocation Administrator

About the team:

The Training Allocations team sits in the Customer Service Training Department, which is based in the GWR Learning and Development Centre in Swindon. We are a small yet very busy team working dynamic environment where delegate experience is paramount.

About the job:

The role of a Training Allocation Administrator is both varied and challenging. Activities include everything from daily admin tasks through to planning courses and managing company training initiatives to ensure target audiences are invited and attend.

Your main responsibilities will be:

  • Ensure all GWR learners receive the correct joining instruction for both new starters and internal colleagues
  • Populate and distribute joining instructions and training schedules in a timely, accurate manner
  • Ensure appropriate facilities are available to delegates and trainers, whilst helping to provide a welcoming environment at the Learning and Development centre
  • Enter information into the database to ensure consistent            record keeping for all staff training records
  • Work closely with external suppliers to build a strong relationship and ensure processes run smoothly
  • Assist with the management of the waitlist to keep waiting times to a minimum
  • Control training initiatives to ensure resources are booked and target audiences are invited
  • Track training initiatives KPIs periodically

You'll need to be:

  • Committed to working as part of a team, as well as able to work independently in a busy environment
  • Highly organised with good time management
  • Able to multitask and prioritise
  • Focussed on consistent and excellent customer service
  • Proactive, robust and a self-starter
  • Competent in Word & Excel and possess accurate keyboard skills

As a minimum you'll need to have:

  • Experience of working in a fast paced & challenging office environment and possess the ability to meet deadlines
  • Excellent communication skills (both verbal and written)
  • Strong administration skills with a high level of attention to detail
  • Ability to effectively plan, organise and prioritise workloads
  • Possess a ‘can do' attitude and show initiative

About the location:

Holbrook House in Swindon is home to approximately twenty five trainers and support staff. The GWR Customer Service Training centre hosts a variety of training for GWR colleagues in a professional yet friendly environment.

Working Pattern:

19 hours – Days to be discussed at interview
