IT Licencing and Software Manager

Purpose of role

  • To ensure SWR is compliant with all licence and software agreements to avoid penalty and or/breach. 
  • To ensure unlicenced software is removed and SWR hardware assets are correctly licenced
  • To recommend best course of action for any software/licence issue
  • To actively represent IT in any projects that have a requirement for IT  solutions.
  • Manage third party providers relating to licences and software procured by SWR



Key accountabilities

  • Ensure compliance and integrity of Software Licensing across multiple service lines and technologies
  • Manage software licenses for local installation, SaaS models and cloud baded solutions
  • Support and contribute to the delivery of organisational objectives and their dissemination
  • Ensure all policies, processes and procedures are appropriately documented and communicated
  • Work with business support and procurement teams to ensure value for money
  • Define and implement License Management Strategy, covering policies, partners and toolsets
  • To identify all software installed within the organisation using multiple data sets.
  • Engage with key stakeholders to validate current installed products are in use and are required moving forward
  • Regular reporting to First Group of all licence and software status
  • Maintain excellent communications and provide regular progress updates with other team members and IT customers
  • Ensure the IT procurement process is followed and liaise with the South Western Railway Procurement and Contract department as necessary to fulfil requests made.
  • Ensure the South Western Railway Finance processes are followed at all times, this includes raising orders.
  • Manage safety activities and take necessary action within own area of responsibility to ensure the safety of all staff.  This includes working in safety critical locations, near the railway and supervising others in or near these sites.
  • Checks invoices to ensure goods received and invoice is correct but has no invoice sign off authority.
  • Ensure any franchise/committed obligations within area of responsibility are met.
  • Shared responsibility in finding ways to reduce expenditure and ensuring correct solution is identified so costs not incurred unnecessarily.
  • To provide a path to go live for required software, such as:
  • Version required
  • Upgrade required (Y/N)
  • Quantity of licenses required
  • Under maintenance (Y/N)
  • Upgrade cost (if applicable)
  • Required Software version packaged (Y/N)
  • Required Software version media available (Y/N)
  • Provide recommendations around software suitable for rationalisation/retirement.
  • Ensure new software versions are licensed, downloaded, catalogued and stored in software asset management tool


Skills & Experiences Required:

  • Anticipating & moving pro-actively to mitigate issues
  • Working collaboratively with teams at all levels
  • Experience in a software product organisation
  • Good written & verbal communication skills
  • Good inter-personal and presentation skills i.e. public speaking, communicating ideas and solutions etc.
