HR Coordinator

We are looking for an experienced HR Administrator to join our team based in London on a 12 month Fixed Term Contract.

Main Purpose

To support the service delivery of the Group HR Operations team providing administrative support to the team ensuring a focus on excellence and efficiency in the way this service is delivered to Group colleagues and stakeholders.

Main Duties

  • To assist in the preparation of Executive Service Agreements for new executives, managing the new start process on behalf of the hiring manager/HR Director.
  • To prepare all written correspondence for Group employees e.g. changes to terms and conditions, absence, maternity/paternity/adoption leave, performance development, disciplinary, grievance etc.
  • To be responsible for the administration of the Group starters and leavers process, ensuring that all documentation and pre-employment checks (e.g. right to work checks, references) are completed accurately and in a timely manner.
  • To pro-actively manage the administration of fixed term contracts, highlighting contract end dates to managers in advance.
  • To be the point of contact for Payroll Managers, addressing any queries and providing the relevant payroll notifications relating to changes to employee data
  • To aid the general improvement of all HR data by creating and pro-actively maintaining accurate and complete employee records ensuring compliance with HR best practice and Data Protection requirements.
  • To produce electronic reports from the HR/Payroll database for all routine and non-routine requests from Group functions/HR colleagues.
  • To prepare HR data and monthly employee lists as required.
  • To amend and update the Group Organisational Charts on a monthly basis.
  • To be responsible for the generation of purchase orders and associated administration (e.g. invoice queries, notifying suppliers of purchase orders) for relevant HR goods and services.
  • To record performance ratings and produce reports/analysis as required.
  • To collate and accurately record absence data ensuring that employees who have reached a ‘trigger' point in relation to occurrences, duration or sick pay are brought to the attention of HRBPs.  Company Responsibilities

Skills, Experience and Qualifications Required

  • Strong attention to detail.
  • Ability to independently prioritise own work and respond to changing business priorities flexibly
  • Ability to recommend process improvements and accept new ways of working that will enhance function performance.
  • Ability to apply logic and common sense to analyse problems, presenting senior HR colleagues with well-considered, pragmatic solutions for approval/discussion.
  • Intermediate/Advanced level Microsoft Word and Excel skills. Working knowledge of Powerpoint.
  • Excellent written and verbal communication skills.
  • Excellent organisation skills.
  • Proven ability of providing excellence and efficiency to internal customers.
  • Experience of working within a busy and fast-paced HR team within a complex organisation.
  • Experience of maintaining and improving HR data.
  • Experience of creating reports and analysing HR data
  • Experience of building relationships and networks internally.
  • Experience of providing HR admin support in a large, complex organisation
