What's the main purpose of this role?

A Project Manager with significant change management capability is required to deliver successful migration of the Employee Portal to Office 365, and exploit associated opportunities for user awareness and education, and improved data and content management. 


What will your main duties be?

  • At the outset, re-confirm the scope of the project and ensure good understanding.
  • Manage the project in line with good practice, including timeline, risk, issue and financial management.
  • Provide the necessary project reporting and project communications.
  • In conjunction with Group IT, manage the external supplier, FSP, who are delivering the technical aspects of the migration.
  • Support the identification of data and content policies and processes, and Office 365 capabilities, that need to be developed and shared.
  • Support the identification of the change management impacts for various stakeholder communities (inc. Content Managers, Internal Comms, GWR / SWR, general users).
  • Develop and deliver sufficient change management activity that will be needed to support the various stakeholder communities.


Why has this opportunity become available?

FirstGroup's current group-wide intranet, the Employee Portal, was launched in September 2016 in an “on-premise” Sharepoint environment. Whilst the “on-premise” solution has been successful, it incurs considerable cost that could be avoided, and carries a greater business continuity risk primarily through data links. A project is being developed to move to cloud hosted servers within Microsoft Azure, and exploit the modern Sharepoint experience.


Significant improvements have been made to the functionality and the content of the Portal. However, there are still parts of the Portal that suffer from a lack of ownership and focus, and too much old, out of date and poorly tagged content. There are content managers throughout the businesses with varying levels of skill and commitment, despite recent efforts to provide more support to these individuals. A frequent complaint is that the poor user interface for content managers.


For the approximately 12,000 managers and administrators who form the audience for the Portal, the user experience also varies depending on the commitment of the owners. The search experience can be frustrating (due to poor tagging) and the Portal is yet to become the essential, central place to support this key audience in delivering for their organisations. Additionally, the productivity-enhancing tools available through O365 (such as OneDrive, Skype, Teams and other functionality) are under-used, insufficiently understood, and could provide greater efficiencies.


What skills, experience and qualifications are required?

  • Good understanding of project management. PRINCE2 or similar qualification.
  • Knowledge of processes, management, budgeting and office operations.
  • Good understanding of change management principles; evidence of successfully changing processes and behaviours.
  • Exposure to IT functions, system characteristics, features and integration capabilities
  • Ability to set and manage priorities judiciously.
  • Excellent written and oral communication.
  • Ability to present ideas in a business and user-friendly language.
  • Self-motivated and directed.
  • High attention to detail. Superior analytical, evaluative, and problem-solving abilities.
  • Exceptional service orientation.
  • Strong interpersonal skills and the ability to manage complex relationships and competing priorities.
  • Pragmatic approach to IT delivery.
